Retirement Party: Planning Guide From a Birmingham Banquet Venue

On January 1st of this year, the first of the Baby Boomers reached their 65th birthday. For the foreseeable future, there will be over 10,000 people in the US retiring every day! And because of this, Woodrow Hall is expecting to host a LOT of retirement parties.

So, you want to host a retirement party for yourself, a family member, friend or a coworker, how long do you need to plan ahead? Not very long!

A retirement party can be a rather simple event and the planning cycle can be as short as a few weeks! This is especially true if you choose a weekday or a Sunday. Friday and Saturday nights need a much longer planning time as the venues (including Woodrow Hall) start to become booked a year or more in advance by brides and grooms.

But, Woodrow Hall has just opened up a medium size ballroom that has plenty of availability on weekdays and at least because it caters specifically to smaller events, up to 120 people, we expect to have lots of parties “on-the-spur-of-the-moment” so to speak. In fact, we could probably host a retirement party the same week you call if it is a weekday or weeknight or even a Sunday!

But, even though the lead-time can be short, there are still a number of items you need to plan for. They include:

Finding a venue and finalizing a contract
Choosing a caterer or arranging for your guests to bring in food
Choosing a menu
Buying and sending invitations (store-bought invitations are immediately available, custom invitations may take weeks to arrive; so plan ahead!)
Setting up entertainment: This can be as simple as an I-Pod or as complex as a large band. Obviously, the simpler the faster! Again, Woodrow Hall has access to DJs should you choose this route
Choosing and obtaining decorations: We can help here also! We have a supply of centerpieces.
Setting up for the party: Woodrow Hall can do all of the set up if you wish us to!

So, you see, the biggest time commitment is the time it takes to find a venue. Since the next most important issue is the actual social calendar for the guests, you can typically start to plan about a month prior, as most people have not made commitments more than a month in advance except for very important family events such as a family wedding or vacation.
